Common workflows

Step-by-step recipes that cross several screens. Each one links to the detailed page for any step you want to dig into.

🧵 Sell → deliver → install (end to end)

  1. Find or add the customer in Customers; log the showroom visit as an interaction.
  2. Build a quote with line items, discount and fees; send it. (Over-cap discounts route to an owner.)
  3. Convert the accepted quote — it becomes a confirmed order and records the deposit.
  4. Stock reserves automatically if available; if short, the order reads awaiting_procurement until purchasing brings it in.
  5. Schedule a delivery (and an installation if it's delivery + install); assign the driver/installer.
  6. Capture POD on delivery and complete the install work order — the order's status follows to deliveredinstalled.
  7. If anything's wrong afterwards, raise a service case linked to the order.

📦 Restock a low item

  1. Open reorder suggestions — items below their reorder point are listed.
  2. Raise a purchase order in one click (pre-filled from the preferred supplier's catalog), or run an RFQ first to compare prices.
  3. When the goods arrive, receive the PO — record qty, any shortage/overage and damage; a putaway task is queued.
  4. Receiving auto-reserves backlog, so any orders waiting on that stock unblock immediately.

🛠 Handle a damaged-on-arrival claim

  1. Open a service case from the order; set priority (this sets the SLA clock).
  2. Attach evidence (photos) and pick the reason codedamage/wrong item auto-routes to the right team.
  3. Resolve by arranging a replacement/repair; if the supplier is at fault, raise a supplier return (RMA).
  4. Record the resolution & capture CSAT, then close.

🔁 Move stock between branches

  1. From Inventory → Transfers, request a transfer; pick the exact variant and quantity.
  2. A manager approves it.
  3. Ship from the source — stock leaves there (blocked if there isn't enough on hand).
  4. Receive at the destination — stock arrives and any backlog there is auto-reserved.

👤 Onboard a teammate

  1. In Tenant admin → Users, invite the person (you must be under your plan's seat cap).
  2. Assign a role and a home branch.
  3. Fine-tune with a permission group or per-user grant if needed.
  4. Optionally set their working days & hours so auto-scheduling can roster them.

⚖️ Push a discount that needs approval

  1. Apply the discount on the quote (or edit the order total).
  2. If it exceeds your cap (or moves an order total >10%), it's held and an owner is notified.
  3. The owner reviews it in Approvals and approves or rejects — only then does it apply.

🔢 Reconcile stock with a cycle count

  1. Open a count session scoped to all / low / a category.
  2. Enter the physical counts you find, then submit.
  3. A manager approves — the variance posts to the ledger and is audit-logged.
